How do I edit my application?
Unfortunately, it is currently not possible to edit your application. However, upon submitting your application, you will receive a confirmation email with a copy of your responses and attachments. You may resubmit your application as many times as you’d like up until the deadline and we will only review your latest submission.
Can I apply without a business tax ID?
Unfortunately, your organization must have a business tax ID in order to apply for a grant. You can apply for a business tax ID, also known as an Employer Identification Number (EIN), online at the IRS website.
Can I apply if my organization is part of an umbrella organization?
Umbrella organizations as well as their subsidiary organizations may all apply for funding. Note that the maximum amount UVSA awards to any single organization using the same tax ID is $5,000.
Can I apply more than once?
Your organization may apply more than once provided each application is for a different program and they have different objectives and outcomes. Note that the maximum amount awarded to any organization is $5,000.
What is a project? What is a program?
UVSA provides grant opportunities for both programs and projects. A Project is a temporary entity designed to deliver specific and often tangible outputs. Programs are often long-term endeavors which comprise of multiple projects. For the purposes of our application, we use the terms interchangeably.
Projects have limited and tightly defined scope and have a start and end date to the project’s life cycle: initiating, planning, executing & controlling, and closing phases. An event is an example of a project because it has a project start date, generally when you initiate and plan the project, and an end date generally coinciding after the conclusion of your event and as you prepare your final reports and lessons learned. Tangible outcomes of an event include attendance, sales results, and feedback surveys.
Programs are often a portfolio of multiple projects that are coordinated as a unit with the objective of achieving outcomes, often intangible, for the benefit of your organization. An example of a program is a youth mentorship program which pairs middle school students with a mentor who will be with them through the entirety of their middle school and high school education. During this time period, the participants will likely be part of multiple projects (such as events) throughout the year. The result of this program — a 6-year relationship between a student and a mentor — is much harder to quantify than the outcomes of a project.
What are the project start and end dates?
The project or program start date is the date you begin the initiating phases of your project. That is, when you begin developing the project proposal or business opportunity. If your program has been operating for many years, please enter in the start date for which you will apply the use of UVSA’s funds for your current fiscal year.
The project end date is the date you will end the closing phase of your project. That is, after you have completed and measured your project outcomes and have prepared your final reports. For programs which are on-going, please list the end date of your fiscal year.
If your project is an event, please do not list the project start and end dates with the dates your event will occur.
Can the grant cover annual operating expenses?
Your organization may apply for your general or annual operating expenses; however, UVSA strongly favors programs and projects over general or annual operating expenses.
How does UVSA select which projects to fund?
UVSA evaluates each application based on the following criteria
- Quality of overall proposal and short answer responses
- Project impact, both short-term and long-term based on measurable outcomes and sustainability
- Clarity and thoroughness of budget proposal
- For prior recipients, we compare your prior year’s application to both your Recap Form and your current application.
What should be on a line item budget?
UVSA recommends you include a thoroughly detailed line item budget which includes descriptions and reasons for your expenses. Additionally, UVSA will need to know what aspect of your budget is funded by other means and what items you are explicitly asking UVSA to help support. We’ve included an example budget template that you may download and use and include in your application. This sample sheet is not mandatory to use. However in the included example, it summaries expenses for a sample project and outlines the needed support from UVSA as well as other funding sources.
How long should my responses be for the short answers?
UVSA recommends that you evaluate your responses to all the short answer questions to ensure you have answered the question thoroughly and thoughtfully. UVSA includes a maximum word count for each short answer section. We strongly advise against answering any short answer with little to no text as it makes it impossible to evaluate your project’s objectives, scope, and expected outcomes. Incomplete applications, unfortunately, will not be reviewed. If you require additional clarification about any section of the application, please don’t hesitate to email us at email@example.com.
What should I include in the short answer sections?
UVSA recommends that you include numbers and figures as measured by your organization. For example, if your organization tracks registration and can breakdown your population served into age groups by percentages, it will give us a much more clear description of who your target audience is. One of the criteria used in our review process of clarity of the information you provide.
Am I required to provide IRS or state documents?
You are only required to provide IRS documents if your organization is a registered tax-exempt organization with the IRS. This applies similarly for California nonprofits. UVSA uses these documents to verify your organizations exempt status as that information is publicly available on the IRS’s website and on the California’s Registry of Charitable Trusts.
What is the annual operating budget?
The annual operating budget is your total budget allocated for your organization to operate for the entire fiscal year. This includes all projects and programs as well as administrative costs that your organization occurs each year.
Why won't my files attach to the application?
Our application only accepts files up to 10mb in size. If your file is larger than 10mb, please reduce the size to under that amount.
